Article I – Rules of Order
The current edition of Roberts Rules of Order is the final source of authority in all questions of parliamentary procedure.
Article II – General Policy Considerations
The SPHS Boys Soccer Booster Club Board of Directors will be responsible for the formulation and enforcement of Booster club policies and procedures. A Board member, under advice from the Board, may form a committee as necessary to assist with the completion of duties and responsibilities, provided that the Board member reports on the committee’s information, membership, and changes in membership at the next Board meeting. The Board will discharge committees when their work has been completed or when it deems it appropriate to discontinue the committee. No attempt by a SPHS Boys Soccer Booster Club Board member, committee or Booster Club member to commit the Booster Club to a long-term contract or financial commitment will be binding upon SPHS or constitute an expression of SPHS policy until the SPHS Booster Club Board of Directors have formally approved such action.

Article III - Membership
Board of Directors
The Board will consist of no less than five (5) members which includes four (4) officers: President, Vice President, Treasurer and Secretary, and at least one at-large member. The exact number of elected Board members for each upcoming season is to be determined by the existing Board of Directors by no later than February 1st of each year. Each Board member will serve a one-year term.
The general membership will consist of the parents that pay SPHS Boys Soccer Booster Club fees. Committees for concessions, road game meals, team dinners, social media, Youth Appreciation Night, Pink Out, Senior Night, banquet and other committees as needed, will be formed by May 1st of each year, or as soon as need is established.
Article IV – Fees
The SPHS Boys Soccer Booster Club Board of Directors will set the fee annually.
Fees for SPHS Boys Soccer Booster Club will cover the costs of equipment, uniforms, and/or concessions. Additional fees charged to the players/parents may include uniform fees, a portion of the costs for away game meals, and other costs approved by the Board.
Fee collection will be coordinated and implemented by the Treasurer. Notifications of missing fees will be communicated out to parents by designee.
Article V – Finances
The SPHS Boys Soccer Booster Club Treasurer will place all monies paid to SPHS Boys Soccer Booster Club in such approved institutions as may be designed by the Board. Funds not used from the current year’s budget will be advanced to successive years operations. Invoices, receipts and/or other supporting documentation must accompany each transaction.
The Treasurer is authorized to make disbursements on accounts and for expenses provided for in the budget. Disbursements of expenses will be made by check or debit card. All expenses not included in the budget require approval of the Board.
In addition, disbursements of general funds are subject to the following criteria:
Expenditures under $100 do not require Board approval;
Expenditures between $100 - $500 require Board discussion with the President or Vice President’s approval on the applicable invoice;
Expenditures over $500 require Board review and approval. Communications and voting on such expenditures may occur via electronic communication in order to more efficiently fulfill this requirement.
The SPHS Boys Soccer Booster Club fiscal year will run from January 1st to December 31st.
The President, Treasurer, and/or or a committee nominated by the Board will prepare a budget for the current fiscal year. The Board will work to approve such budget by April 1st of each year, in time for the upcoming season.
Books & Records
The SPHS Boys Soccer Booster Club shall keep correct books and records of account and shall also keep minutes of the proceedings of its Board of Directors. All books and records of the SPHS Boys Soccer Booster Club may be inspected by any member in good standing for any proper purpose at any reasonable time.
Article VI – Athletic Director and Coaches
SPHS Boys Soccer Booster Club activities and purchases are to be communicated to the coaches and the AD when deemed necessary.
Article VII – Meetings
The Parent Meeting will be held after teams have been formed. This meeting will include the Coaches expectations, soccer season events, volunteer opportunities, paid uniform article distribution, spirit wear, fundraising opportunities, away meal contributions, and any other relevant information.
Booster Club meetings
The Board of Directors actively meets throughout the calendar year to continue to plan and support the SPHS Boys Soccer Booster Club, Coaches and teams.
Article VII – Dissolution, Amendment Procedures, and Adoption of By-Laws
The SPHS Boys Soccer Booster Club may only be dissolved by a two-thirds majority of the members in attendance at a special meeting called specifically to consider and vote on dissolution after all member have been given fair and reasonable advance notice of such meeting. In the event of a vote in favor of dissolution, any funds remaining after all obligations have been satisfied shall be transferred to the appropriate entity, subject to any 501(c)(3) exemptions requirements of the Internal Revenue Code.
These Bylaws may be altered, amended, repealed, and new Bylaws may be adopted by a majority of the entire Board of Directors at any meeting of the Board, provided that at least seven (7) days prior notice is given of intention to alter, amend, repeal, or adopt new Bylaws at such meeting.

These Bylaws were duly approved by electronic communication and voting as of March, 2018.
